Synergy takes the duty of Confidentiality and Privacy seriously and has implemented a set of Code and Standards for each member of our team and this serves as a written notice outlining what those are and consent thereby.

Synergy Confidentiality and Privacy Codes and Standards

Synergy and its members will take reasonable steps to protect the security of non-public personal information about any prospective client, including the security of information stored physically or electronically, from unauthorized access that could result in harm or inconvenience to the prospective client.  We have vetted any 3rd party software being used to ensure compliance to our standard of encrypting data on different levels, to ensure the highest level of protection. The encryption of data of our engagement platform starts with a secure connection to and from our servers, via 256-bit SSL encryption. Data is further encrypted at rest and stored in secure databases.

In the event that a Synergy employee leaves the firm. Best effort is taken to change or remove any login access to non-public Synergy systems and therefore removing access to any proprietary information.  We from time to time audit our passwords to measure complexity and redundancy and any employee working outside the office environment does so on a company computer that can be tracked and monitored at any time.  

Any physical files are housed in a secure filing cabinet accessible only by the managing partners.

Synergy will never sell any contact information or list of contacts to anyone.  From time to time, Synergy invites third-party subject matter experts to provide informational services.  It is our policy to always host those events on our platforms to ensure any third party does not inadvertently gain access to a list of potential contacts. 

A Synergy professional is prohibited from using any non-public personal information about a prospective client for his or her direct or indirect personal benefit, whether or not it causes detriment to the prospective client, unless the prospective client consents.

A Synergy professional may disclose information for ordinary business purposes to the professional’s employer, partners, employees, or other persons with whom the professional is providing services to or for the prospective client, when necessary to perform those services; or as necessary to provide information to Synergy’s internal counsel and/or professional network of attorneys, accountants, and auditors.

Synergy requires written proof of any person acting in a representative capacity on behalf of the prospective client by way of Power of Attorney and if possible confirmation verbal confirmation with the prospective client. 

A Synergy professional may disclose information for legal and enforcement purposes: To law enforcement authorities concerning suspected unlawful activities, to the extent permitted by the law; as required to comply with federal, state, or local law; as required to comply with a properly authorized civil, criminal, or regulatory investigation or examination, or subpoena or summons, by a governmental authority; as necessary to defend against allegations of wrongdoing made by a governmental authority; as necessary to present a civil claim against, or defend against a civil claim raised by, a Client; as required to comply with a request from any governing board concerning an investigation or adjudication; and as necessary to provide information to professional organizations that are assessing the professional’s compliance with professional standards.

The Synergy Confidentiality and Privacy standard has been created to be consistent with regulatory requirements that apply to the various professional organization and governing bodies of the managing partners for all members of the firm. The standard does not attempt to supersede or negate any Regulation S-P under the federal securities laws or substantially equivalent federal or state laws or rules for those individuals that may either be licensed by a particular state or registered within the securities community.  We feel that your sensitive information is important enough to place in writing for all who interact with us exacting protocols as much as possible.  As these are amended from time to time they will be republished on our website and a written copy can be requested at any time.
